Your Toolkit
We have designed these letters and forms to make it easy
for you to amend and send introductory letters to schools,
produce evaluation forms and promotional posters for your
visit.
You will need Word 97 or later to read and edit these documents.
Selected ‘fields’ have been incorporated in some
of these documents for you to add any relevant information
necessary. Once you download each document, add your organisation’s
logo and your own contact details.
The order of communication with schools should happen
something like this:
1. You contact a school that has expressed an interest in
having a visit by sending them the Introduction Letter
below, adding your details in the fields provided.

2. On receipt the teacher will then phone you to book a visit.
You should have a Confirmation Form handy
for this conversation. Whilst talking to the teacher, fill
in as much detail as possible. Send a completed copy by email
(if you and the teacher have agreed this) or by fax or post.
Don't forget to confirm how you are presenting on the day
i.e: overhead projector or Powerpoint (on whatever computer
facilities the school has available) - there is provision
to confirm this in advance on the form.

3. Also send (by email or post) a copy of each of the posters.
Poster 1 is basically an advert for the website,
Poster 2 has a blank space for you to add
your name and date of visit for the teacher to put on a noticeboard.

You might also like to print off a copy of the Post
16 Careers Booklet below for secondary schools or
colleges. You can then show this to the teacher during your
visit, in turn they can download this from the New Generations
website within Post 16 section, if they wish.

Teacher's Feedback Form
In order to share good practice and ideas for a really successful
session with students it is important that we generate teachers'/students'
feedback on your visits in to schools. We hope you will find
this feedback useful for future visits too, so we recommend
you keep a copy on file.
At the end of a visit, please leave a printed copy of this
form with the class teacher in attendance (or email it if
preferred) and ask them to send it back to you as soon as
possible.

We would then like to hear from all ambassadors about their
experience of the visit, again to see if we can improve or
add to the facilities we offer within this website and to
share the good, or less positive experiences, with all involved
in the New Generations Ambassadorial scheme. Regional
leads will analyse this feedback (from both teachers and ambassadors)
on a regular basis and share the outcomes, making any adjustments
to the materials provided or advice given in this website,
as soon as possible.
The outcome of each analysis will be posted on this site
home page as it becomes available.
